Job Description

Do you have exceptional project management skills and solid experience working on complex and production heavy events and come from an events agency background?  Are you deadline driven and pride yourself on delivery?

Do you take pride in being the “ glue”  working on events from start to finish, have excellent relationship and communication skills – able to work closely with the client, key internal and external stakeholders and suppliers, as well as guide a junior team?

The role is based in London and reports into the Operations Director and works closely with the Event Directors.


  • Responsible for the successful delivery of client projects from briefing stage, planning and implementation.
  • Management of all aspects of the project across the entire project delivery team.
  • Work with the rest of the agency’s teams to help deliver high quality events – being on-site pre-event, during the event and post event
  • Manage a team – understanding team capacity and strengths, offering guidance, training and support.
  • Client management – understand their business and pain-points, look at how the agency can assist and maximise profitability of the event, bringing any potential new business/requests to the attention of the Event Director/Snr Management


  • Manage high-quality, complex and production-heavy events from design and planning through to onsite delivery
  • Create strong relationships with stakeholders, clients, event sponsors, suppliers and internal staff members
  • You will work closely with Event Directors and the Operations Director on resource planning for projects to ensure the right teams are in place for different projects
  • Input into project meetings and communications with stakeholders throughout the project cycle
  • Follow and implement internal processes, as well as propose new ideas to improve the event planning and implementation process
  • Work to tightly managed deadlines – following internal critical paths, client deadlines and supplier deadlines and manage deadlines across the team
  • Manage the travel and accommodation arrangements of the internal team, clients and suppliers
  • Project Budget management – activities will include managing internal budget processes quotes, creating PO’s, payment schedules, processing invoices accurately and post event reconciliation
  • Supplier negotiation – this can be on price, services, scope, timings etc
  • Venue sourcing, contracting and negotiation (this is something you will upskill your junior team members on)
  • Attending venue site visits and creating site visit reports for internal and client review.
  • Creating onsite docs, managing host schedules, supplier and staff contact lists, crew lists, running orders, run of show and team briefings
  • Creating a branding scope & deliverables briefing document specific to different venues
  • Work on and sometimes leading RFP’s – supporting the rest of the team in the preparation of RFPs/proposals and guiding junior members during that process
  • Providing Social media content when attending networking events, FAMs, exhibitions etc
  • Networking with the industry by attending relevant events
  • Shipping of event related materials around the world as needed

Our client is offering a salary of £35 – 45k plus benefits of 28 days hols (incl public hols), additional day holiday per year of service (capped at 5), Birthday off, Fitness membership after probation, Thursday office drinks, Pay Day Friday – early finish (3pm), Team Activity Days.
